The Inventory Availability report organizes the quantities of your items by their status. Each column in this report represents a different status. Thus, it gives you a broad overview of your sales, purchases, and more while also helping you see which items are experiencing big movements.
When none of the checkboxes are clicked, this report includes the following column headers by default:
- Item - The name of each item in the Items module.
- Description - A brief explanation of what each item is from the Items module.
- On Hand - The number of units of each item that are currently in stock.
- Allocated - The number of units of each item that are assigned to various orders. This includes inventory on issued sales orders and purchase orders.
- Not Available - The number of units of each item that are in a Locked location and cannot be sold.
- Drop Ship - The number of units of each item that are currently on a Drop Ship sales order.
- Available - The number of units of each item that can be sold. This quantity is calculated as On Hand - Allocated.
- Incoming - The number of units of each item that are currently on a purchase order, but which haven’t been received yet.
- Committed - The number of units picked and ready to be shipped. Inventory that is committed will always be allocated. However, inventory that is allocated is not always committed.
- Short - The number of units of each item that you need to obtain to be able to fulfill the total quantity that is on your purchase orders. If you have a shortage of units of an item, this number will tell you what that number is so you can reorder it in the appropriate location.
Optional
To the right of the report are several Optional fields you can use to customize this report:
- Location - A dropdown menu to select a Parent Location or Child Location to include in this report. All other locations will then be excluded. By default, every location will be on this report. Selecting one from this list will narrow down the results significantly unless you only have one location. You can create a new location by entering a name for the location in the textbox and hitting Enter or clicking the + Add option. Then fill out the New Location wizard that pops up.
- Group By - A dropdown menu that enables you to reorganize the items in this report by one of two criteria:
- Location - This organizes all items under each location where they are either stored at or headed to.
- Item Number - This organizes all locations where an item is stored under that item’s name. This is the default option for this report. By default, this won’t show the location that each unit is associated with. But if you click the Show Location checkbox below, all units will be organized under each location they’re at.
- Show Location - A checkbox that inserts a Location column to the left of the Item column in the report. It shows the Parent Location or Child Location that each item is stored at. It is redundant when the Group By selection is Location since that already organizes items by location. But it can be quite helpful when the default Item Number is used because that doesn’t automatically separate items into their different locations unless this checkbox is clicked.
- Include Zero Quantity - A checkbox that enables items with zero quantities in every status to be included in this report. By default, these items will be left off, but if you want completeness, click this checkbox.
Unlike most of the other reports in Fishbowl Drive, the Inventory Availability report does not have a Select All Optional checkbox. Each checkbox can only be clicked one at a time, not both at once. To search for an option in a dropdown menu, click in that field and begin entering text. It will show all options that have that text in them. This is especially useful when it comes to selecting a location.
